The Archival Supplies Grant is sponsored by WNYLRC's Preservation Committee and is designed to support WNYLRC member libraries and organizations that steward special collections by providing funding for essential archival supplies. Many institutions, particularly small libraries and volunteer-run organizations, face financial constraints in preserving historical and culturally significant materials. This grant aims to alleviate these challenges by ensuring access to high-quality preservation supplies.
Eligibility:
This grant is available to all WNYLRC member organizations. Non-member organizations may apply if they are collaborating with a WNYLRC member organization - a letter of support is required from the director (or equivalent position) of the member organization. Awarded supplies will be sent to the WNYLRC member organization for further disbursement.
Grant Timeline:
Applications are due Friday, December 5th, 2025 by 4:30pm, and they will be reviewed by WNYLRC's Preservation Committee.
Review Criteria:
Applications will be evaluated based on a rubric that considers the following factors:
- Demonstrated Need: Clear explanation of how the supplies will be used to preserve materials contained in a special collection.
- Impact: The significance of the materials being preserved and their accessibility to the public.
- Budget Justification: Transparency in how funds will be allocated and the necessity of the requested items.
Funding & Award Distribution:
Grants of up to $300 will be awarded based on need and merit, as determined by the Preservation Committee. WNYLRC will purchase requested archival supplies for successful applicants. Awarded funds must be used exclusively for the purchase of archival supplies.
Application Requirements:
Applicants must provide the following information via the online application form:
- A brief Statement of Need detailing the significance of the collection and how the requested supplies will be utilized.
- An Itemized List of requested supplies, including estimated costs from recommended vendors.
- The organization's Annual Supplies Budget to provide context for financial need.
Recommended Vendors:
Applicants are encouraged to explore vendor educational materials and product catalogs for guidance on selecting archival supplies. Please contact WNYLRC for additional assistance. While applicants are free to source materials from any reputable vendor, the following suppliers specialize in archival preservation:
